Organiza in two minutes. The voice is computer-generated.

Getting started

Create your church's account

  1. Go to the Organiza page and tap Create a free account.
  2. Enter the church's name, city and country, and the church's local time (time zone).
  3. Enter your name, your email and a password with at least 8 letters or numbers. You sign in with the Pastoral role: you see and do everything.
  4. Leave the examples box checked: it adds ministries with their roles, a discipleship path and the Sunday service for the next 12 weeks. You can change or delete all of it.
  5. In Settings → Church, upload your logo and choose your church's color.
Organiza screen: Create your church's account

Upload your Excel list

  1. Go to People → Import Excel (or Settings → Import and download).
  2. If you don't have a list, tap Download the template and fill it in. The "Instructions" sheet explains each column.
  3. If you already have your own Excel file, upload it as is: Organiza finds the columns by their names (Name, Last names, Phone, Birthday…). Check that each piece of data comes from the right column.
  4. Tap Review before saving. You'll see how many people are new, how many already exist and any rows with errors (for example, a date it can't read).
  5. Fix the errors in your file, upload it again and tap Save. If you upload the same file again, no one gets duplicated: their information is just updated.
  6. Dates go day/month/year (15/08/1985). To group a family together, give all its members the same family name.
Organiza screen: Upload your Excel list

Invite your team through WhatsApp

  1. Everyone who's going to sign in to the portal needs to be in People first.
  2. Open their profile and tap Invite to Organiza, or in Settings → Access tap Invite people to invite several at once.
  3. Choose the role. Almost everyone is a Volunteer. Administrative is for the office; Pastoral is for pastors and elders who need to see pastoral notes.
  4. Check Can create church events only for whoever builds the calendar. When you choose Administrative, it's already checked.
  5. Tap Send next to each person: WhatsApp opens with the message and their link. The link is personal, works for 21 days and can only be used once.
  6. The person opens the link, creates their password and that's it: they can see their shifts.
  7. Leaders also invite their team: on their ministry's page they tap Invite my team to Organiza.
  8. Visitors and people who don't serve yet don't need an account: they stay in People and New people.
Organiza screen: Invite your team through WhatsApp

Get Organiza as an app

  1. Organiza can be installed as an app on your phone, tablet or computer. It opens with one tap, updates itself and takes up very little space. It needs internet to show the data.
  2. On Home you'll see a banner that says Get Organiza as an app. Tap Install or See how. If you don't want to see it, close it with the X. It's also always in the gear next to your name.
  3. Android: in Chrome, tap Install (or the three-dot menu → Install app).
  4. Organiza and Banda are two separate apps, each with its own address: Organiza at app.iglesiadigital.app and Banda at banda.iglesiadigital.app. Install each one from its own address. If you open Banda from Organiza (or the other way around), you get in without typing your email again.
  5. If you installed the app but don't see the icon (this happens on some Xiaomi, Redmi and POCO phones): in Settings → Apps → Chrome → Other permissions, allow Home screen shortcuts.
  6. iPhone or iPad: in Safari, tap Share and then Add to Home Screen.
  7. Computer: in Chrome or Edge, click Install or the install icon in the address bar. On a Mac with Safari: File → Add to Dock.

Visitor QR and sign-up link

  1. Go to New people (or People) and tap QR and sign-up link.
  2. Visitor QR: tap Print poster and put it up at the entrance, on the chairs, or show it on the screen. You can also download it as an image.
  3. Whoever scans it with their phone's camera leaves their name, phone number, whether it's their first time, how they heard about you, whether they want to be contacted, and a prayer request.
  4. Sign-up link: send it by WhatsApp or post it on your social media so each person can enter their basic details. It arrives as to review; your team fills in the courses and the rest.
  5. If someone was already there (same phone or email), they aren't duplicated: only the missing details are filled in.
  6. If someone misuses the QR or the link, Pastoral or Administrative can change them; the old ones stop working.
Organiza screen: Visitor QR and sign-up link

Who does what (roles)

  1. Organiza has only three roles. In Settings → Access you'll find the full table, with check marks.
  2. Pastoral: sees and does everything, including pastoral notes and prayer requests. Only this role gives the Pastoral role.
  3. Administrative: the office. Sees and does everything in the church except the pastoral side: people, ministries, volunteers, access, settings and reports.
  4. Volunteer: sees their shifts, answers whether they can or not and marks the days they can't. Almost everyone signs in this way.
  5. Leader and co-leader aren't roles: they're positions inside a ministry. The leader is named by Pastoral or Administrative, and the leader names their co-leaders. Both manage only that ministry.
  6. Can create church events is a separate checkbox, for whoever builds the calendar.
  7. Visitors and people who don't serve yet don't need an account. If a volunteer is no longer on any team, they keep their account and see a notice until a leader adds them.
  8. Church owner: one Pastoral person (at first, whoever created the church in Organiza). Only the owner and one more person they choose can delete the church or restore a backup. The permission and the ownership are given in Access → Change.

For volunteers

Respond to a shift

  1. When you're scheduled, the shift shows up in Home and in My shifts with a yellow border.
  2. Tap I can if you'll be there. Your leader sees it right away.
  3. If you can't, tap I can't, pick the reason (travel, work, health…) and, if you want, explain a little. Only the people who organize your ministry can see it.
  4. If it's because of a trip or another commitment, check the box so that day is marked as unavailable.
  5. If you already said yes and something comes up, go to My shifts and tap I can't anymore.
  6. Tap the shift to see the service: the date, the place, who you serve with and, if it is worship, the order in Banda. You can also answer there.
Organiza screen: Respond to a shift

Mark the days you can't serve

  1. Go to My availability (on your phone, it's the "Available" button at the bottom).
  2. You're always available, except what you mark. At the top you see your week: in green the days you can and in red the ones you can't.
  3. Tap a day to say you can't make it that day, all day or just a few hours (for example, Wednesdays because of work). Tap it again to make it available again.
  4. Dates you'll be away: for a trip or a vacation. Tap Add dates and choose the start and end.
  5. Your leaders see it when they schedule and won't put you on those days. If you already had a shift on those dates, we'll let you know so you can respond "I can't".
Organiza screen: Mark the days you can't serve

See your shifts in Google Calendar or on your iPhone

  1. Go to My account and look for "View in Google Calendar or on your phone".
  2. There are two links: The church (services and events for the whole church) and My service (your shifts and your teams' rehearsals and meetings). Copy the one you want.
  3. On a computer, open Google Calendar → Other calendars → From URL, paste the link and tap Add calendar. In a few minutes it also shows up on your phone.
  4. On iPhone, tap the iPhone button and confirm "Subscribe".
  5. It updates on its own. Google takes a few hours to show changes; the latest is always in the portal.
  6. If you had already added a ministry's link, it still works.
Organiza screen: See your shifts in Google Calendar or on your iPhone

Use Organiza as an app on your phone

  1. Open the portal in your phone's browser and sign in with your email.
  2. On Android (Chrome): menu ⋮ → Add to Home screen.
  3. On iPhone (Safari): Share button → Add to Home Screen.
  4. The Organiza icon appears like any other app. If it doesn't (some Xiaomi, Redmi and POCO phones), see the guide Get Organiza as an app.
Organiza screen: Use Organiza as an app on your phone

Language, My account and Sign out: the gear

  1. Next to your name (on a phone, at the top right) is the gear. There you'll find Language, My account, Install as an app and Sign out.
  2. The language is saved in your account: you see it the same way in Organiza, in Banda and on any device you sign in on.
  3. Names your church types in (ministries, events, notes) stay as they are.

For ministry leaders

Schedule your team

  1. When a church event needs people from your ministry, it shows up on your Home under Your turn to schedule. Tap it to open it.
  2. You also see it on your ministry page, under Events: as a List or by Month, with the church events that ask for your team and your rehearsals and meetings.
  3. Only you and your co-leaders set how many people and who serves. Whoever creates the event only marks the ministries, and the office sees how it is going.
  4. Tap Roles and how many people and enter how many people your team needs in each role. You decide: whoever created the event only marked which ministries are needed. If the event repeats, you can apply it to the following dates.
  5. Tap Choose someone in each open spot. The list comes sorted: first those who are free, know that role and have served the least. Above each name you see their load light.
  6. Or tap Suggest team to have Organiza fill every spot at once, or Copy previous to bring back the same team from the last date (only those who are available). You can always swap someone out.
  7. Anyone who's traveling, paused or already serving at that time appears under "Not available". You can still assign them, but it asks you first.
Organiza screen: Schedule your team

Invite people to an event on WhatsApp

  1. Open the event (a rehearsal, a training, a meeting, a party or a church event) and tap Invite.
  2. A ready message appears with the name, date, time and place. You can change it. Tap Send by WhatsApp and choose who or which group to send it to.
  3. Whoever receives it doesn't need an account: the link opens a page with the event details and buttons to add it to their calendar. It never shows who serves.
  4. If the event is deleted, the link stops working.

Notify through WhatsApp and record responses

  1. Next to each person who hasn't responded there's a green Notify button: it opens WhatsApp with a ready-made message and the link to confirm.
  2. If someone answered you in person or by phone, tap the three dots next to their name and mark Can or Can't.
  3. When someone says they can't, they show up on your Home screen under "Can't go" with the Find a replacement button.
Organiza screen: Notify through WhatsApp and record responses

Your ministry's roles

  1. On your ministry's page, under Roles, add what needs to be done: Guitar, Vocals, Welcome desk, Teacher…
  2. You can link a skill to each role (Musician, Kitchen…). It helps you find candidates.
  3. For each person on your team, tap Roles and check what they can do. That way the team suggestion gets it right.
Organiza screen: Your ministry's roles

My ministries and co-leaders

  1. In the menu, My ministries shows the ones you lead and the ministries where you serve, with your next shift in each one.
  2. The ones you lead have two buttons: Manage (your team, roles and dates) and Dashboard.
  3. If you're the leader, you name your co-leaders: in your ministry, tap the three dots next to the person and choose Co-leader. They help you lead: they schedule, create rehearsals and see the dashboard. To remove the position, choose Team volunteer.
  4. So your team can see their shifts on their phones, tap Invite my team to Organiza on your ministry's page.
  5. The menu only shows what you can use. If you need to see something else, ask the church office or your pastor.
Organiza screen: My ministries and co-leaders

Ask for volunteers

  1. You don't add people to your ministry yourself: you ask the church office for them (Pastoral or Administrative). That way no one ends up in three ministries without someone noticing.
  2. In your ministry, tap Ask for volunteers and say how many people you need and what for.
  3. The office gets the request, chooses the people and replies to you. You'll see them on your team.
Organiza screen: Ask for volunteers

Cell or home groups

  1. Pastoral or Administrative creates the ministry and picks the type Cell or home groups. A new church already comes with a sample one: "Home groups".
  2. The ministry leader taps New group and enters the name, day, time, how often they meet, the address and a phone number for directions.
  3. In each group, tap Add people and choose its leader, assistant leader, the host (the home) and the participants.
  4. Each group's leader and assistant leader can change the group's day, time and address, and add participants.
  5. The ministry leader can also tap Choose supervisor in each group: the person who walks alongside its leaders. One person can supervise several groups; in them they can do the same as the leader, and they see the ministry in My ministries.
  6. The address opens the phone's map app, and each leader has a WhatsApp button.
  7. Below is Without a group: members who aren't in any group yet, with a button to invite them.
Organiza screen: Cell or home groups

Your ministry dashboard

  1. On your ministry's page, tap Dashboard. Only that ministry's leaders, Pastoral and Administrative can see it.
  2. At the top you see how many can serve, who's worn out, the unfilled spots for the next 4 weeks and the shifts no one has answered.
  3. In Upcoming dates the bar shows how each one is going: green is confirmed, yellow is not answered yet and striped is what's missing. Next to anyone who hasn't answered there's a WhatsApp button to remind them.
  4. In The team you see each person's load, their last and next shift, and how many times they served or couldn't in 90 days.
  5. Who covers each role? tells you when a role depends on just one person, so you can train someone else.
Organiza screen: Your ministry dashboard

Your team's rehearsals and meetings

  1. On your ministry's page (or in the Calendar), tap New event. It can repeat every week, every 2 weeks or every month.
  2. Only your team sees your team's rehearsals and meetings: they show on its calendar and in each member's My service link, and they're ready right away.
  3. Church-wide events are created by whoever has the Can create church events checkbox. There's no more waiting for approval.
Organiza screen: Your team's rehearsals and meetings

Banda: the worship team

Banda in one minute. The voice is computer-generated.

Turn on Banda for your worship team

  1. Banda is the worship team's app: songs with chords, the order for each service and the key for each musician. It uses the same account and the same shifts as Organiza.
  2. Someone with the Pastoral or Administrative role opens the worship ministry, taps Edit and chooses Worship, with Banda. It can also be done when creating a new ministry.
  3. The first time, you confirm that your church is responsible for its song licenses (for example, CCLI). The license number is optional. Digital Church doesn't review or report anything.
  4. The fixed role Worship leader is created and can't be deleted. If you already had one like "Worship direction", that one becomes the fixed role and keeps its shifts.
  5. Anyone on the team sees Open Banda in My ministries and in the menu. Banda installs separately as an app, with its own icon, from banda.iglesiadigital.app.
Organiza screen: Turn on Banda for your worship team

Who does what in Banda

  1. Ministry leader and co-leader: add songs, build the order for every service and choose the keys.
  2. Worship leader (the fixed role; there can be several): adds and corrects songs. Builds the order and chooses the keys only for the services where they have that shift.
  3. Musicians and singers: see the order and the songs, and adjust their own key or capo.
  4. Pastoral and Administrative can always get in.
  5. For someone to lead worship on a Sunday, schedule them in that event with the Worship leader role.

Add songs: type or paste them

  1. In Banda, tap Songs → New song and type or paste it. If you already have many in Planning Center or in an Excel file, see the guide Import songs.
  2. You can paste it with the chords on the line above (the way it comes from SongSelect and other songbooks) or in ChordPro, with the chords in brackets: [G]Holy.
  3. Banda places each chord over its syllable, separates verses and choruses, and fills in the title, author, CCLI number and © if they're in the text. On the side you see how it will look.
  4. Banda sets the key for you: the one written in the song or, if there is none, the one its chords point to. If it is wrong, change it in Original key.
  5. If you like, add the order of parts (V1 C V2 C P C) and notes for the team.
  6. Only save songs your church has permission to use.
Organiza screen: Add songs: type or paste them

Import songs from Planning Center or Excel

  1. In Banda, tap Songs → Import. The worship leader and whoever edits songs can do it.
  2. From Planning Center: in Planning Center Services, under Songs, export your songs as CSV and upload that file just as it comes.
  3. From Excel: tap Download the template, fill it in with one song per row (the lyrics with their chords in a single cell) and upload it.
  4. Before saving you see the list: new songs come checked, and songs already in your songbook (same title) aren't repeated. Tap View to check how one turned out, and uncheck any you don't want.
  5. Tap Import. Banda places the chords over the lyrics, sets each arrangement's key (or works it out from the chords) and keeps the Planning Center tags as notes.
  6. If the internet drops halfway, upload the same file again: what already came in isn't repeated. Import only songs your church is licensed to use.
Organiza screen: Import songs from Planning Center or Excel

Do something with several songs at once

  1. In Banda, under Songs, check the box of each song. With Select all… you check every song shown: search first to check only some (for example, the Christmas ones).
  2. At the bottom you'll see how many you selected. Tap What to do with them.
  3. Play them: to rehearse at home or play without a service, one after another (up to 30). Add them to a service: they go at the end of the order of the service you choose.
  4. Download them as Excel: a backup with lyrics and chords that can be imported again. Delete them: they leave the songbook; if you made a mistake, tap Undo.
  5. The worship leader and whoever edits songs can do it. Musicians see the list as always.

Build the order for a service

  1. Services come automatically from the Organiza events where the worship team is scheduled. Open one and tap Build the order.
  2. Tap Add songs and check several at once; if you make a mistake, tap it again to remove it. Also add parts like Welcome, Prayer or Offering, so the team knows what is next.
  3. Song not there? Tap New song right there, paste it with its chords, and it goes into the order and the songbook.
  4. Move them with the arrows. For each song choose the key for that day and, if you like, a note ("Piano starts alone").
  5. Tap Save the order. The team sees it right away and, below, who plays what based on the shifts.
  6. You can also open a song and tap Add to a service, or, while playing, the + button at the top: the song goes in after the one on screen and the whole team gets it when they move to the next song.
Organiza screen: Build the order for a service

Play without a service: at a home or whenever needed

  1. For a home meeting or whenever you need to play without putting together a service. Anyone on the worship team can.
  2. Open a song and tap Play, or in Services tap Play without a service and choose the first one.
  3. To keep going, tap Another song (at the bottom, or the + at the top). Swipe sideways to go back to the ones you already played.
  4. What you play stays on your device and works without internet. With no signal, you can choose the songs you already have there.
  5. In a service too: the + at the top opens another song only on your screen, without changing the service order.
Organiza screen: Play without a service: at a home or whenever needed

Play: your key, the capo and how to view the song

  1. In the service, tap Play. You see one song at a time, full screen, and the screen stays on.
  2. Tap View to change: My key (raise or lower it just for you), Capo, Chords, Lyrics only or Numbers (Nashville), text size, one or two columns, Do Re Mi and dark screen.
  3. Your key and capo are saved to your account for that song; others don't see them. Back to the leader's key clears them.
  4. Singers use Lyrics only.
Organiza screen: Play: your key, the capo and how to view the song

Changing songs: swipe or pedal

  1. Swipe left to go to the next one and right to go back. The bottom always shows what's next.
  2. With a Bluetooth pedal or the keyboard, each press scrolls down the page; at the end, it moves to the next song. The other pedal goes back.
  3. It works with pedals that send arrow keys, Page Down and Page Up, or Space, which is almost all of them.
Organiza screen: Changing songs: swipe or pedal

Use Banda offline

  1. Before you leave, open the service and tap Download to use offline.
  2. With no signal, Banda shows you the services you downloaded, with your key and capo.
  3. If you change your key offline, it's saved when the signal comes back.
  4. If the leader changes the order, open the service while online and your copy updates itself.
Organiza screen: Use Banda offline

Usage report for your license

  1. In Banda, tap Usage: how many times each song was sung on the dates you choose, with its CCLI number.
  2. Tap Download for Excel and use that list to fill in the report on your license's website.
  3. Banda doesn't report anything for you: each church is responsible for its licenses. The license number is changed in Settings → Church.
Organiza screen: Usage report for your license

For Pastoral and Administrative: volunteers

Activate, pause or remove

  1. Open the person's profile. Under Service you'll see their status and their load light.
  2. Activate: they can now be scheduled. When you add them to a ministry, they're activated automatically.
  3. Pause: for rest, health or school. Set an end date; you can remove the shifts they already had during that time.
  4. Stop volunteering: they leave all their ministries and future shifts, but stay in the church. Their history stays.
  5. Maximum shifts: if someone can only serve twice a month, set it here and the load light will respect it.
Organiza screen: Activate, pause or remove

Ministry pause and archiving

  1. Ministry pause: on the profile, under Ministries, tap Ministry pause. Check which ministries they shouldn't serve in for now, until when (or leave it without a date) and the reason.
  2. While it lasts, no one can schedule them in those ministries; in the others they can. The leader sees they're paused, but only Pastoral and Administrative see the reason.
  3. To end it, tap Ministry pause again and then End the pause. If you set a date, it ends on its own.
  4. Archive: at the top of the profile, for someone who's no longer part of the church (moved to another city, went to another church). Nothing is deleted: their contact info, service history, discipleship and notes stay.
  5. They leave their ministries, groups and future shifts, and lose access to the portal. They no longer show up in People; you'll find them with the Archived filter.
  6. If they come back, open their profile and tap Restore. You can give back their access; add them to their ministries again.
Organiza screen: Ministry pause and archiving

Place people in each ministry

  1. In the ministry, tap Add people. People with skills that ministry uses, and people who serve in fewer places, are listed first.
  2. If the ministry requires a discipleship step (for example, Child protection for Kids) and the person doesn't have it, Organiza warns you first.
  3. When you create a ministry, you choose its leader: the person who manages it and sees its dashboard. If they haven't joined the portal yet, Organiza offers to invite them.
  4. To change the leader, tap the three dots next to the person and change their Position. Each ministry has only one leader, and the leader names their co-leaders.
  5. If a ministry welcomes newcomers, in Edit check This team follows up with New people. Its members will see New people in the menu.
  6. A ministry with no leader is marked in red with an Appoint leader button.
  7. From People you can select several and, in What to do with them, add them to a ministry at once.
Organiza screen: Place people in each ministry

Do something with several people at once

  1. In People, check the box for each person (or the top one, for everyone you are seeing). Use the search and filters to find them.
  2. Below you see how many you selected. Tap What to do with them.
  3. Choose: Invite to Organiza, Add to a ministry, Add a skill, Change their status (Member, Visitor or Inactive), Remove or Delete. You only see what your role lets you do.
  4. Remove is for people who no longer come: their details and history are kept. Delete takes them out of the database and cannot be undone.
  5. Organiza does them one by one. If it couldn't be done for someone (for example, yourself or the church owner), at the end it tells you who and why.
Organiza screen: Do something with several people at once

Handle leaders' requests

  1. In Requests you see what leaders are asking for. The yellow number in the menu shows how many are waiting.
  2. Tap Respond, then Choose who to add, write a reply if you want and tap Done, handled.
  3. If there's no one to send right now, tap Not possible right now and explain to the leader.

Care for your volunteers

  1. Load: the light counts shifts from the past 2 weeks and the next 2, plus weeks in a row. Green: available. Yellow: caution (they already have several shifts). Red: overloaded.
  2. No shifts: volunteers who haven't served in 60 days. Sometimes people feel forgotten; a phone call helps.
  3. Not serving yet: members who aren't in any ministry, sorted by their potential (discipleship, skills, time at the church).
  4. Ready for more: volunteers with good progress in discipleship who could take on more responsibility.
  5. The maximums are adjusted in Settings → Church.
Organiza screen: Care for your volunteers

For Pastoral and Administrative: the church

The church dashboard

  1. In the menu, under Administration, tap Dashboard. Pastoral and Administrative can see it.
  2. The boxes at the top show what's urgent: worn-out volunteers, who hasn't served in 60 days, unfilled spots in 4 weeks and unanswered shifts. Red is urgent; yellow means keep an eye on it.
  3. The 12-week chart shows how many served and how many couldn't. If the "couldn't" bars grow, it's worth asking what's going on.
  4. Below are the names: who to give a rest, who to reach out to because they haven't been scheduled, and which dates need people.
  5. The Ministries table compares them all. Tap one to see its own dashboard.
Organiza screen: The church dashboard

Pastoral notes

  1. On each person's profile, under Pastoral notes, write down visits, prayer requests or counseling agreements.
  2. Only people with the Pastoral role can see them. Give that role to an elder or counselor when you invite them, or in Settings → Access.
  3. They're stored encrypted. Every time someone opens them, it's recorded in the activity log.
  4. Only the person who wrote a note can change it. Anyone with the Pastoral role can delete it.
Organiza screen: Pastoral notes

Follow up with new people

  1. New people shows everyone who came in through the Visitor QR, the sign-up link, or was registered by the welcome team, with a number in the menu showing how many still need follow-up.
  2. Each card shows whether it's their first time, how they heard about you, their age and whether they want to be contacted. Only Pastoral sees prayer requests.
  3. Tap WhatsApp to message them with a ready-made text, then I followed up with a note about what happened.
  4. Besides Pastoral and Administrative, a welcome team can see them: in that ministry, tap Edit and check This team follows up with New people. Its members call and mark I followed up.
  5. If visitors are taken to a welcome room or table, that team taps Register a visitor: I'll fill it in with them (they ask for the person's information and type it in) or They fill it in on their phone (they show the QR on the screen). It lands in New people just like the QR, without duplicating anyone.
  6. For someone who signed up with the link, check their details and tap Confirm as member, or change their status in their profile.
  7. At the top you see how many visits and sign-ups there were in 30 days and how many visitors came back. The pastoral report includes them too.
Organiza screen: Follow up with new people

Discipleship: paths, steps and requirements

  1. A path groups steps together. It can go in order (welcome, baptism, foundations…) or be a set of standalone courses (trainings).
  2. Tap a circle to mark a step: once for completed (green with a checkmark), again for in progress (half yellow), and once more to clear it.
  3. For a group that finished a course together, use Mark a group.
  4. In each ministry or role you can set steps as a requirement. Organiza warns you when someone doesn't have them.
  5. It's optional: if your church doesn't have a clear process, you don't have to use it.
Organiza screen: Discipleship: paths, steps and requirements

Pastoral report

  1. In Pastoral report, choose the period (30 days, 3 months, this year or other dates).
  2. You see how many are serving, how your volunteers are doing, each ministry, the reasons for "I can't", discipleship, who's new and who could serve.
  3. Tap Print or save PDF for the board meeting, or Excel to work with it. It doesn't include pastoral notes.

  1. Church-wide events are created by whoever has the Can create church events checkbox (in Settings → Access). It can be checked for Pastoral, Administrative or anyone else.
  2. In the Calendar, tap New event, set the date and mark which ministries are needed. You don't add roles or people.
  3. Each leader of those ministries sees it on their Home under Your turn to schedule: they decide how many people and who.
  4. There are no more approvals: the event shows up right away on the church-wide calendar and in the link The church.

Retreats, camps and multi-day events

  1. When you create an event, choose what it is like under How long is it?
  2. One day: a service, a meeting or a rehearsal. It can repeat every week or every month.
  3. Several days in a row: a retreat or a camp that starts one day and ends another, for example from Friday at 7 p.m. to Saturday at noon. It is a single event and each leader schedules it once.
  4. Several days, with a schedule: Vacation Bible School or a conference. Choose the first and last day, which days of the week, and the schedule. Below you see each day: if one has a different schedule, change it there; if there is nothing on a day, remove it with the X.
  5. Each day becomes a date of the same event and is scheduled separately, because different people usually serve. When setting the roles, the leader checks Also apply to the following dates of this event and they are set on every day.
  6. To change the name or the place on every day, open any of them, tap Edit and choose Change the name, place and details on every day.

Backup: save everything and get it back

  1. In Settings → Backup, tap Download backup. Pastoral and Administrative can do it.
  2. A file downloads with everything from your church: people, ministries, calendar, shifts, discipleship, groups and new people. It doesn't include passwords, and pastoral notes are encrypted.
  3. Save it on your computer and somewhere else safe (a USB drive or your Drive). We recommend one every month.
  4. If something is lost, the church owner (or the person they gave permission to) goes to Restore from a backup, chooses the file and types the church name to confirm. What is in the portal is replaced with what is in the file.
  5. Everyone keeps signing in with the same account.

Settings, downloads and activity log

  1. In Settings → Church you can change the name, logo, color, time zone, maximum shifts and the reasons for "I can't".
  2. In Settings → Import and download you can download your whole database to Excel anytime. Keep it somewhere safe.
  3. In Settings → Activity log you see who did what and when, including who read pastoral notes.
  4. If someone forgot their password and your church doesn't send emails, go to Settings → Access, generate a New password link and send it to them on WhatsApp.
